Budget and Reporting Officer

(Code: BR-O)

Yayasan Konservasi Indonesia (KI), the main partner of Conservation International (CI) in Indonesia, with offices and project sites across Indonesia, we are seeking an experienced and self-motivated individual for the position of Budget and Reporting Officer to support the Operation team. The Budget and Reporting Officer supports budget planning and donor reporting for program development. Working across a department or program, s/he plays a key role in processing routine budget and reporting comply with KI’s policies, procedures, and external requirements. Key responsibilities include developing budget proposals, assisting in the annual budget process, and ensuring accurate revenue and expense forecasts.

This position will involve in monthly budget adjustments, internal control checks, and participation in budget review meetings with senior management. Budget and Reporting Officer prepares financial reports, responds to donor queries, and advises staff on compliance with donor requirements. This position does not manage staff.  Duties are performed under general direction and subject to regular review.

 

KEY RESPONSIBILITIES

Budget Planning:

  • Support in developing budget for program development. Working closely with the budget holders and responsible program in-charge on preparing and create budget proposals.
  • Assist the annual budget process as directed, including to enter the data into the Budget System.
  • Assist in budgeting process based on consolidated data incorporating multi-year budget for project/program considerations, and soliciting inputs from appropriate budget managers.
  • Assist in adjustment of the annual budget on monthly basis to ensure the revenue allocations and expense budgets reflect current information and are an accurate forecast of expected project expenses.
  • Support in discussion in monthly budget review meetings with Operations Director, Budget Holders, and Senior Management Team.
  • Ensure internal control is in place. Including but not limited to checking budget spending (Budget vs Actual), miscoding, and adhere to donor requirements.

 

Donor Reporting:

  • Assist in preparation of donor financial reports.
  • Assist in responding Donor’s follow-up queries on the submitted Financial Reports.
  • Advise staff on donor requirements and provide training on policies as needed to ensure compliance.
  • Perform other related duties as assigned.

 

PEOPLE AND RESOURCE MANAGEMENT RESPONSIBILITIES

  • This position does not manage staff but assists less-experienced peers
  • Not responsible for managing an individual budget or public or private funds but reviews for compliance with KI policies and external partner/donor agreements.

QUALIFICATIONS

  • Undergraduate/Bachelor’s degree in Business, Accounting, Finance, or related field.
  • Up to 2 years of work experience in finance, budget with experience in a non-profit global organization is advantageous
  • Proficient and experience with Microsoft Excel, including advanced functions such as VLOOKUP, pivot tables, and complex formulas.
  • Experience with financial systems and software.
  • Highly organized and ability to multi-task, prioritize, and adapt to changing priorities.
  • Strong attention to detail and problem-solving abilities.
  • Demonstrated ability to handle confidential and sensitive information.
  • Ability to maintain a positive attitude, service focus, and work as part of a diverse team.

 

WORKING CONDITIONS

  • Typical office environment.
  • No travel expected.
