GIZ Indonesia for The Climate Governance: Driver and Office Assistant

The
Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a German
implementing organization which provides services worldwide in the field of
international cooperation for sustainable development. GIZ has a record of more
than 20 years of involvement in the area of climate policy in Indonesia. GIZ
in cooperation with the Direktorat Jenderal Pengendalian Perubahan Iklim (DGCC)
of KLHK is currently implementing “Strengthening Climate Governance of
Indonesia for Implementing the Paris Agreement” (climate governance) project.
The objective is to strengthen the climate change-relevant institutions of the
Government of Indonesia in their climate governance capacities and supporting
the further development of core elements of the Indonesian climate policy in
order to prepare for a successful implementation of the Paris Agreement. Working
towards this aim, the project shall be implemented over approximately
3,5 years clustered into four work areas. Those are:·        
Strengthening strategic capacity of key actors
at national level (KLHK/DGCC and BAPPENAS)

Strengthening inter-ministerial coordination
·        
Support effective societal consultation and
strengthening of Non-Party-Stakeholders
·        
Support international exchange and communication
(Externalization)
 GIZ seeks a qualified Indonesian
candidate for one position of

 

Driver and Office Assistant

 

A.   Responsibilities

·        
Assist in general office administration : e.g.
delivery of letters/messages, payment of bills, and makes minor purchases of
office supplies;

·        
Support and assist for event preparation in the logistical management and
documentation of meetings, workshops, seminars and other project activities
inside and outside the office;

·        
Overall
smooth, uninterrupted functioning of the office;

·        
Daily
operational execution of all project affairs;

·        
Safe
and responsible driving of office vehicles and routine
maintenance and care of office vehicle

·        
Fills
out the vehicle logbook correctly and accurately;

·        
Cleanliness
and orderliness of the office and its respective premises;

·        
Running
of official errands and assisting with other office services;

 

B.  
Tasks

Driving and Service Maintenance

  • Drive office vehicles safely and chauffeur
    office staff, official visitors and guests to official destinations;
  • Assists in the transport of goods;
  • Runs
    errands for the project, programme or office, e.g. sending letters and
    messages, paying bills and buying smaller quantities of office supplies;
  • Regularly cleaning the inside and outside of the
    office vehicle inside;
  • Check oil, water, brake and clutch fluids on a
    daily basis; tire pressures, battery water, and overall vehicle condition on a
    monthly basis or after 5000 km whichever comes earlier; tests lights, brakes,
    bodywork for dents, etc;
  • Is responsible for project vehicle documents and
    its care, keeps vehicle logbook on a daily basis and registers each monthly
    check;
  • Calculate the petrol, oil, and lubricant (POL)
    use on a monthly basis, is responsible for a special petty cash for POL and
    submits vouchers to accounting on a monthly basis;
  • Reports
    need for service and carries out minor vehicle repairs;
  • Immediately
    reports all involvement of the project or office vehicle in accidents,
    including minor accidents, damage, loss or theft of vehicle fittings;
  • Report
    damages of office equipment to project administration, organize and follow up
    the proper maintenance and repair;
  • Uses
    all available information (including current radio news on traffic conditions)
    to update daily knowledge of road and traffic conditions, current passable
    routes and locations, and shares this information with other office drivers;
  • Supports in organizing vehicle licence
    extension of Jakarta vehicle;

 

Office Services

  • Cleans the office premises, rooms, furniture,
    carpet and windows;
  • Ensures the availability of supplies in all
    lavatories;
  • Assists in the logistical management of the
    meeting room(s);
  • Ensures the availability of hot coffee and tea;
  • Meets guests and visitors with a friendly
    demeanor;
  • Serves coffee and tea to guests and visitors,
    during meetings, etc., as per request;
  • Reports if stationary, drink stocks, etc. are
    almost finished;
  • Photocopies
    and scans documents as needed;
  • Provide tea and coffee for and maintenance good
    communication with visitor, guests and consultants;

C. Required qualifications, competences and experience

  • Supports
    other colleagues or assist in case of need, and does other office work as
    assigned;
  • Report
    any incident whilst off duty that may affect his/her driving license
    entitlement, as well as any newly known health problems that may affect his/her
    ability to drive;
  • Performs other duties and tasks at the
    request of the superior;
  • Undertake
    further job training related to his/her position and duties, if required;
  • Special
    training programs shall be identified and selected jointly with the Office
    Manager;

    Formal
Education

  • High School or equivalent;

        Professional
Experience

  • At least 3  years of professional working
    experience in a similar position;
  • At least 3 years of working experience as a
    driver is MUST
    , with references;
  • Basic English speaking skill

    Other
Qualifications

  • Good
    working knowledge of modem telecommunication systems (fax, email internet,
    etc.);
  • Good
    working knowledge of computer programs (MS. Office);
  • Focused, proactive and positive working
    attitude;
  • Willingness to up skill as required by the tasks
    to be performed – corresponding measures are agreed with management;
