THE POSITION

Location: Ubud, Bali

 Kopernik is currently looking for a committed HR and People Operations Officer that can contribute to and support the current and future growth of our team and operations. You will report to the HR and Operations Manager and work closely with the Operations and Finance team, as well as the entire Kopernik team, which currently comprises around 60 people located in various parts of Indonesia.

 Recruitment of Staff

  • Assist the HR and Operations Manager in managing the employment processes such as preparing job descriptions, advertising vacant positions, setting up schedules of interviews and panels, and guiding questions.
  • Shortlisting the application letters, CVs, videos, and all of the required documents.
  • Summarize all potential candidates into a table of selected candidates.
  • Documentation and records of all scoring by panels (CV, video, interview, written test, etc.) and reference checks.
  • Assists the HR and Operations Manager in preparing offering letters for new employees.
  • Assists the HR and Operations Manager in finalizing signed contracts and related documents for new employees.
  • Manage schedules for induction programs of new employees.

Recruitment of Consultant

  • Work closely with the requestor, budget holder, the HR and Operations Manager and Senior Director of Finance & Operations to finalize consultant request form and related documents.
  • Assist the HR and Operations Manager in consultant recruitment through advertisement processes if it falls within its threshold. It includes documentation and records of all scoring by panels.
  • Assists the HR and Operations Manager in finalizing signed contracts and related documents (KTP, NPWP, etc.).

HR Administration Matters and Payments

  • Take care of all legal documents required for expatriate staff.
  • Manage and document all records related to personnel files such as staff contracts, performance management, checklists, promotions, etc.
  • Manage and document all records related to consultants (contract, selection processes, etc.).
  • Ensuring meticulous implementation of payroll and benefits administration.
  • Updating the breakdown of private health staff insurance to the finance team and insurance refund for the retired staff.
  • Ensuring accurate and proper record-keeping of employee information in electronic and digital format.
  • Prepare and submit a monthly provision of termination benefit calculations to the finance staff.
  • Assists the HR and Operations Manager in reviewing the existing private health insurance for staff. It includes the actions for renewal or obtaining a new one, and processing payment requests.
  • Assists the HR and Operations Manager in preparing compensation pay for staff under a Definite Term Employment Agreement (PKWT).
  • Assists the HR and Operations Manager in preparation of severance pay for staff under an In-Definite Term Employment Agreement (PKWT).
  • Preparation and submission of monthly staff payroll (and THR) to the finance team and for approval of the HR and Operations Manager and Senior Director of Finance & Operations. It includes generating Payslip from the HR system.
  • Prepares and submits the payment request for BPJS Ketenagakerjaan and Kesehatan to the finance and budget holder.

Other HR Tasks

  • Assists the HR and Operations Manager in providing counseling on HR policies and procedures; compliance with all national and local laws.
  • Assists the HR and Operations Manager in designing and implementing Human Resources strategic tasks.
  • Liaise with local government and relevant authorities on HR-related matters.

Requirements

  • Indonesian national.
  • 2-3 years of experience in a HR/people operations management role.
  • Demonstrated knowledge of Indonesian labor and manpower law.
  • Knowledge of operational principles and policies.
  • Excellent communication skills in Indonesian and English.
  • BSc/BA in HR, Business Administration or relevant field.
  • Hands-on experience implementing HR and Operational processes.
  • Good knowledge of visa/immigration law.
  • Excellent organizational and project management skills and abilities.
