Long-Term Staff – Finance and Administration Assistant – Central Kalimantan
Overview
USAID SEGAR is seeking a fixed-term staff member for the position of Finance and Administration Assistant for Central Kalimantan Site Office. This position aims to support the Site Manager and Administration Officer in ensuring overall accounting and financial management of site office activities, employing adequate and appropriate internal controls to meet generally recognized financial/ accounting standards. In addition, the Finance and Administration Assistant together with the Administration Officer will manage the preparation of financial reports.

Key Tasks
- Ensure that all Activity-related transactions are reviewed, recorded, and verified against supporting documentation in accord with Chemonics and USAID standard procedures.
- Ensure that USAID SEGAR transactions and procurement processes are appropriately prepared and established procurement standards, procedures, and policies are followed and implemented.
- Maintain accurate finance file index systems to ensure compliance with auditing practices.
- Support the Administration Officer in proactively processing applicable tax calculations of vendor/suppliers and distribute tax deduction receipts to vendor/suppliers.
- Maintain daily records of petty cash book, payments, and prepare weekly and monthly petty cash reconciliation.
- Assist the Site Manager and Administration Officer in the preparation and submission of monthly budget projections.
- Assist the Administration Officer in the development of the Activity Budget (workshop, trainings, or events).
- Review the vehicle log-sheet and fuel consumption of operational vehicle to oversee proper use.
- Assist the Administration Officer and Site Manager to undertake assigned financial tasks, coordinating with Finance team in Jakarta.
- Review TAAR’s and TER’s from site office staff to ensure that all supporting documentation is completed, before submitting to Jakarta.
- As required, assist the Site Manager and Specialists on budget planning and financial disbursement in implementing field events and activities.
- Undertake any other accounting, financial or administrative tasks as required by the Site Manager.
Job Requirements
- Minimum of 1 year experience in an equivalent position and preferably in an NGO or international cooperation organization.
- University degree in accounting, finance, or similar field (relevant experience and another university degree may substitute for degrees mentioned).
- Experience in using Microsoft Word, Microsoft Excel, and Adobe/Nitro.
- Some experience in using accounting software.
- Knowledgeable in tax application.
- Willingness to travel to Activity intervention areas when required.
- Ability to work effectively in a fast-paced, stressful environment and to meet deadlines.
- Must be flexible, willing to perform other duties and work irregular hours.
- Basic English written and spoken English.
- Local resident is preferred.
