P&C Admin Internship

Background

Plan International is an independent development and humanitarian organization that advances children’s rights and equality for girls. In Indonesia, Plan International has operated since 1969, and in 2017 Yayasan Plan International Indonesia (Plan Indonesia) was established as a national entity of Plan International in Indonesia. YPII is currently implementing its Country Strategy 5 (CS 5) covering the Fiscal Year (FY) 2023 to 2027, where the country’s purpose is in line with the global Plan International’s Purpose “to advance children’s rights and equality for girls”. Our ambition is to enable at least 3 million girls and young women to Learn (gain skills for work), Lead (empower to take action on issues that matter to them), Decide (have control over their own lives and bodies), and Thrive (grow healthy and protected from violence). It means that we will take action to identify and facilitate the removal of obstacles that prevent children, especially girls, and young women from enjoying their rights and participating fully in Indonesian society. This goal will be achieved by implementing quality programmes and projects as well as influencing decision-makers and key stakeholders to make the required changes.

ROLE PURPOSE

P&C Admin Internship will assist P&C team in supporting administration related to recruitment, onboarding new employees, employee training, and employee events.

DIMENSION OF ROLE

  • Internship does not get remuneration, but substitute costs for transport, communication, data, and other costs incurred due to internship activities amounting to Rp 1,000,000 / month (nett). Plan Indonesia cannot charge any other fees for the internship without the approval of the supervisor.
  • The intern must provide their own working tools such as laptops, modems, HPs, etc.

ACCOUNTABILITIES

  1. Supporting Recruitment Process
  • Calculate the DISC Test for all shortlisted candidates and create the report using DISC apps
  • Create the job advertisement banner using Canva
  1. Supporting On-Boarding New Employees
  • Prepare the Business Card (if needed) and ID Card for all new employee
  • Prepare and send the list of Staff joining the People & Culture team, including the movement health Insurance.
  • Upload all documents related to Staff on board list share point for the People & Culture Team
  • Drafting SKK (Surat Keterangan Kerja) to all staff that requested the letter.
  1. Supporting Employee Training
  • Helping L&D Specialists in preparing the tools for employee training
  • Helping the employees training in the D-Day training as a co-facilitator
  1. Supporting Employee Relations
  • Helping Employee relations specialist in provide birthday wish cards to all employees

  • Support any Employee Event together with Employee Relation Specialist

REQUIREMENTS

  • Currently enrolled as at least 5th-semester bachelor’s degree students of any major, preferably management or psychology or any related field, fresh graduates are welcome to apply.
  • Able to work for at least 3 months contract period
  • Proven experience as a database administrator, with a focus on managing spreadsheet databases.
  • Proficiency in database management systems such as Microsoft Excel, Google Sheets, or other spreadsheet-specific databases.
  • Previous volunteer/work experiences with NGO are advantageous
  • Excellent problem-solving skills and attention to detail.

PHYSICAL ENVIRONMENT

  • Hybrid, online, and offline work patterns to Plan Indonesia offices (Pasar Minggu Jakarta) at least once every 1 week (if there is an additional request from the supervisor).
  • Work full time for 3 months from Monday to Friday at 9.00-17.00 WIB. If it is necessary to work on a holiday, then the intern gets a holiday replacement on another day with the approval of the supervisor
