Request for Proposal (RFP) : Design and Finalization of Visual Identity and Promotional Materials for I-CAN

About the FINCAPES Project

The Flood Impacts, Carbon Pricing, and Ecosystem Sustainability (FINCAPES) project is as a collaborative, gender-responsive initiative which supports Indonesia to adapt to and mitigate climate change while conserving biodiversity in a socially and economically sustainable manner. Funded by Global Affairs Canada as part of the Canada’s Indo-Pacific Strategy, this 5.5-year project is jointly undertaken by the University of Waterloo’s Faculty of Mathematics and Faculty of Environment.

FINCAPES responds to Indonesia’s priorities and aspirations for research, innovation, and collaboration to safeguard its most vulnerable resources and communities, and to promote and catalyze a sustainable and climate-resilient Indonesia. The project will enhance Indonesia’s capacity within government agencies, universities, and associated partners in three key areas: forecasting and mitigating financial impacts of climate change-exacerbated flood risks; accelerating application and replication of Nature-based Solutions (NbS) for peatland and mangrove restoration and conservation to enhance climate change adaptation and mitigation; and strengthening climate change policy frameworks with major focus on carbon financing mechanisms, including carbon markets and offsets.

Background of the Assignment

Under its Nature-based Solutions (NbS) component, the FINCAPES Project is supporting IPB University in establishing a dedicated research center focused on Nature-based Solutions. With the issuance of a Forestry Faculty Dean Decree formalizing the establishment of the center, it is essential to equip I-CAN with the necessary tools to effectively communicate its purpose, engage stakeholders, and ensure its long-term visibility and impact.

The IPB Centre for Applied Research in Nature-based Solutions (I-CAN) is envisioned as a leading research institution at IPB University, dedicated to advancing Nature-based Solutions (NbS) for sustainable development. Through interdisciplinary research, knowledge mobilization, and capacity building, I-CAN aims to drive innovative solutions and foster collaboration across sectors.

Objective

To support the establishment of the IPB Centre for Applied Research in Nature-based Solutions (I-CAN) as a recognized center of excellence in Nature-based Solutions (NbS), various stakeholder engagement activities and an outreach plan are being developed. As part of this outreach effort, this assignment will focus on refining and finalizing the already-developed I-CAN logo artwork through graphic touch-ups, and developing a practical, user-friendly guideline to ensure consistent and professional use of the logo across key communication materials, as well as develop ready-to-use template for promotional activities of I-CAN.

Scope of Work

The FINCAPES Project seeks to engage a qualified service provider (individual or firm) to finalize I-CAN logo design and developing a practical guideline for application across material. This work will contribute to building I-CAN’s professional image and ensuring consistent and effective communication across stakeholder engagement activities.

The assignment will focus on three key phases:

Phase 1: Logo Finalization and Refinement 

  • The consultant will refine and finalize the provided logo artwork, conducting necessary graphic touch-ups to ensure scalability, accessibility, and professional quality across digital and print uses.
  • The consultant will propose complementary visual elements — including suggested fonts, color palettes, backgrounds, simple graphic elements (e.g., pictograms, icon placements) — to establish a coherent visual ambience for I-CAN’s communication materials. Graphic package (vector format) includes document headers, footers, page cover designs, and other visual components to ensure consistent styling across I-CAN documents.
  • All proposals must align with and draw inspiration from IPB University’s existing graphic charter while establishing I-CAN’s distinct identity within the framework.
  • The final logo and supporting visual elements will be submitted to the project team for review and approval, with delivery in standard high-resolution formats (EPS, AI, SVG, PNG, JPG).

 

Phase 2: Brand Application Guideline 

  • Based on approval of logo and graphic elements, develop simple, practical and user-friendly guideline covering instructions for logo usage, typography, colour application, and examples of visual ambience across various communication material.
  • The FINCAPES and IPB University teams will provide direction on:
    • The positioning of the I-CAN logo, especially in relation to partner or donor logos
    • Terms and conditions under which the I-CAN logo may appear alongside other institutional brands (e.g., in co-branded documents, events, or publications)
  • The final guideline must reflect these instructions to ensure consistency, proper attribution, and compliance with IPB University and project-level branding policies.

Phase 3: Templates Development 

The consultant is expected to design a comprehensive set of editable communication and outreach templates that reflect I-CAN’s visual identity and are adaptable across platforms and languages. For each item below, the consultant must provide both:

  • Blank, fully editable templates, and
  • Sample versions with pre-filled content, using materials provided by the FINCAPES team.

Deliverables include:

  • Social Media Card Templates: Design a set of editable templates for social media platforms (e.g., LinkedIn, Instagram, Twitter/X, Facebook) that align with I-CAN’s branding. Templates should be adaptable for use by IPB University, FINCAPES, and I-CAN websites and flexible enough to accommodate various messaging types (e.g., event announcements, publications, quotes, data highlights).
  • Project Profile Template (A4, Double-Sided): Create a clean, professional, and versatile A4-sized project profile template (double-sided) to be used for showcasing I-CAN’s programs, research, or partner initiatives.
  • Standing Banner and Horizontal Banner Templates: Design templates for vertical and horizontal banners, suitable for both print and digital formats. These will be used at events, exhibitions, and stakeholder meetings.
  • Poster Template (A1 or A0 Size): Develop a larger-format poster template based on the banner design. These posters should be suitable for high-resolution printing and digital display.
  • PowerPoint Presentation Template: Create a professional PowerPoint slide deck template that includes layouts for title slides, content slides, section dividers, and closing slides.
  • Include a starter toolkit of branded graphical elements and pictograms for future use in presentations by the I-CAN team.
  • All templates must be designed to be user-friendly and compatible with commonly used software (e.g., Microsoft Office, Canva, Adobe). Sample content (text, data and photos) for demonstration will be coordinated and supplied by the FINCAPES Communications Team during development.

a.      Social Media Card templates (Size requirements:

·        Square images 1080×1080 pixels,

·        Portrait images 1920×1080 pixels and 1080×1350 pixels)

b.     Project Profile template (A4 double-sided)

c.      Kakemono (Standing Banner) and Horizontal Banner templates

d.     Poster template (A1/A0)

e.      PowerPoint Presentation template (with pictogram toolkit)

 

The consultant is expected to develop a complete set of communication material templates comprising:

·        A blank, editable template using placeholder text or images (e.g., Lorem Ipsum) or visual placeholders)

·        A mock-up version with real content, to be provided by the FINCAPES program team, to ensure proper testing of layout, readability, and functionality.

·        The templates should be submitted as editable formats (Microsoft Office, Canva-ready files, or Adobe formats as appropriate).

Templates are user-friendly, editable, and aligned with approved brand guideline 40% upon approval

Qualifications

  • Individual consultants or design firms with proven experience in visual identity design, brand guideline development, and communication templates
  • Demonstrated ability to produce professional, editable assets for both print and digital use
  • Ability to apply accessibility principles in design (e.g., color contrast, legible typography, screen reader compatibility)
  • Familiarity with academic, research, or nonprofit branding is an asset

Proposal Submission Requirements

  • Interested applicants must prepare and submit a complete proposal package using the templates provided. The package should include a technical and financial proposal that clearly outlines the applicant’s experience, approach, deliverables, timeline, and budget breakdown.
  • The financial proposal must be a fixed and firm price for the provision of the goods/services stated in the RFP in their entirety.
  • Prices include all costs: Submitted rates and prices are deemed to include all costs, insurances, taxes (except VAT, see below), fees, expenses, liabilities, obligations, risk and other things necessary for the performance of the  Scope of Work and Deliverables & Milestones
  • Applicable Goods and Services Taxes: Proposal rates and prices shall be exclusive of Value Added Tax.
  • Currency of proposed rates and prices: All rates and prices submitted by Proposers shall be in Indonesian Rupiah (IDR)
  • The proposed budget needs to be broken down as per guidance in the budget template
  • Your proposal must remain valid and capable of acceptance by FINCAPES Project for a period of 90 calendar days following the submission deadline.
  • Incomplete or non-compliant submissions may not be considered. All proposals must be submitted via the online form no later than 17 June 2025. Late submissions will not be accepted.

Declaration of Copyrights

By submitting this proposal, the applicant (individual or firm) agrees to the following terms regarding ownership and usage rights of the materials developed under this assignment:

  1. Ownership of Work Products: All designs, templates, guidelines, pictograms, logos, graphic elements, and other deliverables produced as part of this assignment shall become the exclusive property of IPB University and the FINCAPES Project upon full payment for services rendered.
  2. Assignment of Rights: The consultant/firm agrees to assign and transfer all intellectual property rights, including copyright, to IPB University and the FINCAPES Project. This includes the right to reproduce, adapt, distribute, and publicly display the materials, in full or in part, across any medium and platform, without additional compensation or restriction.
  3. Use of Work for Portfolio Purposes: The consultant/firm may include the work in their personal or company portfolio for demonstration purposes only, provided that any use includes appropriate attribution and does not misrepresent the affiliation with IPB or FINCAPES. Prior written consent is required before using any co-branded or confidential materials publicly.
  4. Third-Party Content: The consultant/firm shall ensure that all elements used in the design and deliverables are original or properly licensed for such use. Any third-party content must be declared and accompanied by appropriate usage licenses. The consultant shall indemnify the project from any legal claims arising from copyright infringement.

Evaluation Criteria

Proposals will be evaluated based on a weighted scoring system that assesses both technical and financial aspects. The evaluation process consists of the following stages:

  1. Completeness Check: Before the technical evaluation, all proposals will be reviewed for completeness. Proposals that do not meet the minimum submission requirements (e.g., missing key documents, not following format/template requirements) may be disqualified.
  2. Technical & Financial Evaluation: The technical and financial proposal will be evaluated based on the following criteria:
