Job Description

We are seeking a highly organized and detail-oriented Administrative Secretary to join our team. This role involves manage and organize all document efficiently, organize meeting schedules, send meeting invitations, ensure all preparations before the meeting start, compile and distribute meeting minutes. The ideal candidate will provide comprehensive administrative support to ensure the efficient operation of the office.

Responsibilities

  1. Administrative Support:
    • Assist in day-to-day operations by managing and coordinating administrative tasks.
    • Handle incoming and outgoing correspondence, including emails and letters.
    • Organize and maintain filing systems, both physical and digital, ensuring documents are easily accessible and organized.
    • Maintain accurate and up-to-date records, including meeting minutes, organizational documents, and legal record.
  2. Scheduling and Coordination:
    • Manage calendars, schedule appointments, and coordinate meetings.
    • Prepare meeting agendas, take minutes, and distribute them to relevant parties.
    • Making MoM (Minutes of Meetings) for every meeting.
  3. Communication and Liaison:
    • Act as the point of contact between executives, employees, clients, and external partners.
    • Relay information accurately and promptly to ensure effective communication within the organization.
  4. Documentation and Reporting:
    • Prepare and edit correspondence, reports, presentations, and other documents as needed.
    • Manage document flow, including the receipt, storage, and distribution of records.
    • Maintain confidentiality of sensitive information and ensure proper documentation protocols are followed.
  5. Compliance and Confidentiality:
    • Ensure compliance with company policies and procedures in all administrative activities.
    • Maintain the confidentiality of sensitive information, both personal and business-related.
    • Adhere to legal and regulatory requirements in handling documents and information.

Job Requirements

  • Education: High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field is a plus.
  • Experience: Proven experience as an administrative secretary, office assistant, or similar role. Freshgraduate are welcome.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Asana, Note Taking Software (Fireflies, Notion, Jira)
  • Excellent English both written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to work under pressure, multitask, and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Preferably women
  • Placement in BALI and can join ASAP.
