Front Liner 1 (one) position, 1 year contract – renewable – Jakarta |
Purpose of job: The post will support Business Support Services Department and overall organization in providing administration, general affairs and logistical support in accordance with British Council standards. The post holder will report to Business Support Services Manager of the British Council. Duties, Role, and ResponsibilitiesReceptionist · First point of contact for guests · Greet and welcome guests, ad hoc visitors and inform to related staff · Answer incoming calls professionally and distribute incoming calls to related staff · Accept incoming mails, items, and distribute it to related staff · Ensure the cleanliness in lobby area/common area, meeting room area, function room area, by coordinating with General Services Team · Arrange and prepare meeting room, ensure its cleanliness after usage, and remind to related user · Respond to first line enquiries via calls and correspondence (emails/letters/faxes) · Record all incoming mails and incoming calls into Receptionist Log Book · Traffic Controller for General Services Team in and out of the office activity Administration · Manage general office contact database and update telephone directory twice a year and inform to all staff · Organize (Filling) BSS documents if required, including copy, scan documents or fax · Record staff daily in and out absence and recap on monthly basis to HR Department · Create Purchase Order (PO) for general procurement as required by BSS Department. · Record incoming enquiry and produce monthly report of incoming enquiry · Support Executive Assistant and BSS in prepare internal event at Jakarta Office including preparation, during, and after event (e.g. prepare welcome packs, provide refreshments/snacks, F&B for Executive meeting, attendance list) by coordinating with General Services Team · Handle weekly pantry and stationery supplies by coordinating with General Services Team · Provide back-up support to Program Team as required (e.g. deliver merchandise to third parties, send invitations via courier) Draft and prepare simple correspondence letter to Building Management as required by BSS Manager as per standard format (e.g. prepare goods entry permit letter, etc) Others · Monitor contractor during weekdays/weekend by coordinating with Security Officers if required · Report any office incident occurs at Jakarta Office to Resources Manager and Security Officers · Maintain good relationship with internal colleagues and third parties (Building Management, Control Room, Vendors, Key stakeholders e.g. British Embassy) · Any other related duties given from time to time Qualifications · Previous experience as front liner/receptionist and in customer services is preferable · English language competence (oral and written) · Good office administration skills · Good communication and interpersonal skills, pleasant personality, good attitude · Discipline and well organize |
