Project Assistant – National

Overview:

Jhpiego seeks Project Assistant (PA) to support MOMENTUM Country Global Leadership (MCGL) project. The post holder will play a significant role in providing administrative and logistical support to the management and technical team to ensure smooth and efficient implementation of project activities at the national level.

 

Reports To : Project Coordinator

Location : Jakarta (National level)

Responsibilities:

  • Provide day-to-day administrative support to the National and Management team
  • Organize meetings, workshops, and trainings including scheduling meetings, preparing an attendance list, sending invitation, ensuring logistical readiness, take and circulate minutes meeting.
  • Support Management team with maintaining records and files, distributing materials, and documentation
  • Provide support project for logistical needs, including identifying venue, communicating with vendors, and procurement documents.
  • Support project in log sheet and invoice process for consultants
  • Reimbursement (TER, Phone, Transportation, and activities) of consultants, and resource person.
  • Logistics of staff travel include transportation (airways, ground, and water) and accommodation.
  • Create, distribute, and manage online meetings using Zoom and Teams.
  • Update contact info of staff, partners (MOH, PHO, DHO, Hospitals, Puskesmas), mentors, resource person, and champions.
  • Serve as a liaison between the project team and service providers
  • Deliver any other tasks as assigned by supervisor

 

Qualification:

  • Minimum D3 diploma with 3-5 years of working experience on office administration
  • Experience in health sector program
  • Experience working with government, NGOs, and other relevant stakeholders
  • Excellent interpersonal skills and demonstrated ability to work in a multi-cultural environment
  • Ability to work in a complex environment with multiple tasks, short deadlines and pressure to perform
  • Written and oral fluency in Bahasa Indonesia; written and oral fluency in English preferred
