Acicis Professional Practicum Program Assistant
A few positions have become available within the Acicis for the Jakarta and Bali office as a Professional Practicum (PP) Program Assistant. This is an entry-level position and would suit a recent graduate of a reputable university with an interest in International Relations, the Australia-Indonesia relationship, Journalism, Development Studies, Tourism, English Literature, Education or Cultural Diplomacy, and other relevant fields.
Please note this position is open to Indonesian nationals (WNI) only.
Position Description
This is a position who would suit a graduate of an Indonesian or Australian university. The PA will mainly be assisting the Acicis Program Coordinator/ Manager. The PA reports directly to the Program Coordinator (PC), and then the Program Manager (PM). Duties to be performed by the PA include, but are not limited to:
- Assisting the Resident Director (RD), Academic Program Officer (APO), Program Manager (PM), and Program Coordinator (PC) in managing the Professional Practicum programs;
- Serving as a liaison with the Indonesian University, Professional Placement Organisations (PPO) and maintaining sound relationships with key contacts at these institutions;
- Counselling students on matters of adjustment to Indonesian life, including attention to physical adjustment, Indonesian norms of behaviour and expectations regarding dress and workplace behaviour during their programs;
- Assisting in establishing new Professional Placement Organisations (PPO) placements and re-establishing contact with previous inactive PPOs;
- Carrying out a series of monitoring visits to Professional Placement Organisations throughout the entire PP program;
- Assisting the PP APO to comply with Acicis’ guidelines and Professional Practicum programs;
- Conducting end of program evaluation sessions with participants and offering this information as feedback into the ongoing development and improvement of Acicis’ PP program;
- Assisting students in routine and/ or emergency medical or security procedures, and updating Acicis’ Risk Management Guidelines as required;
- Assisting PC and PM with day-to-day operations of Acicis Jakarta office. This includes but is not limited to coordinating, maintaining and purchasing office facilities and logistical requirements (e.g. equipment, minor works, stationery and other supplies, etc.); as well as collating receipts for finance acquittals;
- Maintaining electronic and non-electronic student records;
- Assisting other Acicis programs and tasks when directed by the RD/ PM/ PC.
Working Hours and Remuneration
- These positions are based in Jakarta or Bali and are offered as six-months contracts starting August 2025 – January 2026.
- This role is full-time and works on-site from the Jakarta or Bali office, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday. Occasional out-of-hours’ work will be required during program preparation and implementation, and will be compensated through leave in lieu;
- The PA role will be remunerated at a competitive rate, or commensurate with the applicant’s skills and experience.
Selection Criteria
- Bachelor’s Degree (S1) from an Indonesian or Australian university with a sound academic record;
- Fresh graduate or up to 2 (two) years of professional experience in a similar position;
- Professional level of English proficiency, and a willingness to develop this further as a part of the role;
- Computer literacy in the use of productivity and project management tools (e.g. Microsoft Office Suite and Google Workspace), video conferencing platforms, cloud services, social media applications, and Adobe (include Photoshop and Acrobat) is desired;
- Excellent time management skills and the ability to prioritize a range of competing tasks;
- Demonstrated sound cross-cultural, professional communication skills in written and oral, and a willingness to learn about new cultures;
- A team player with a pleasant personality who can work well in flexible working environments.
