Finance & Grant Assistant

KEM Secretariat is currently seeking a Finance & Grant Assistant to support the Finance Team in managing financial transactions, ensuring compliance with financial policies, and providing oversight for subgrantee financial processes. S/he will report to the Finance & Grant Officer.

Responsibilities

  • Oversee and manage financial transactions, bank reconciliations, and cash management to ensure KEM’s adherence to financial and accounting regulations, donor agreements, and Indonesian law.
  • Support budget preparation, ensuring alignment with organizational goals, and monitor expenditures to ensure compliance with the approved budget and financial policies.
  • Ensure accurate financial data is recorded in KEM’s accounting software, manage the financial database, and ensure the proper implementation of the organization’s SOP.
  • Provide support to the Finance Manager throughout the subgrant process, including pre-disbursement procedures, monitoring financial activities, preparing financial reports, and overseeing the finalization process. Ensure compliance with donor regulations and KEM’s financial policies.
  • Prepare for external audits by maintaining proper documentation and facilitating the audit process.
  • Assist in drafting and updating financial Standard Operating Procedures (SOPs) in line with regulatory requirements.
  • Oversee procurement-related financial documentation, including verifying and processing invoices and vendor payments, while maintaining an accurate and up-to-date fixed assets register.
  • Ensure the timely submission and payment of all required taxes (e.g., income tax, VAT), maintain accurate and organized tax records in alignment with local tax regulations, and coordinate with the Finance Manager and external tax consultants to resolve any tax-related issues.

Qualification

  1. Bachelor’s Degree in Finance, Accounting, or a related field with at least two years of relevant experience.
  2. Experience working with accounting software, budget management, financial reporting, and tax filing.
  3. Knowledge of Indonesian financial regulations and donor compliance.
  4. Experience in financial reporting, grant management, budgeting, and cash management.
  5. Familiarity with donor-funded project management and compliance is a plus.
  6. Willing to learn about the sustainable development context.
  7. Proven ability to deliver high-quality outputs on time.
  8. Excellent communication skills in Bahasa Indonesia and English
  9. Well-developed interpersonal skills.
  10. Self-motivated and able to work with minimum supervision.
  11. Excellent database and archiving skills.
