Project Assistant – Province
Overview:
Jhpiego seeks Project Assistant (PA) to support MOMENTUM Country Global Leadership (MCGL) project. The Project Assistant will provide critical administrative and logistical support to ensure the effective and efficient delivery of project activities at the provincial and district levels. The PA will work closely with the Project Coordinator and technical team, serving as the backbone of day-to-day operations, particularly in managing logistics, documentation, and coordination efforts.
Position Reports To : Project Coordinator at Province Level
Location : Banten, West Java, East Java, Central Java, NTT
Responsibilities:
- Provide daily administrative and operational support to the project team
- Coordinate logistics for meetings, workshops, training sessions, and field visits—including venue booking, participant invitations, catering, and equipment preparation.
- Manage procurement-related processes including collecting vendor quotations, preparing purchase requests, and ensuring documentation complies with organizational and donor policies.
- Process and track reimbursements for resource persons, including transportation, and activity honoraria, in coordination with the Finance team.
- Arrange and coordinate staff travel logistics, including air, ground, and sea transportation, hotel accommodations, and travel itineraries.
- Set up and manage virtual meetings using platforms such as Zoom and Microsoft Teams; provide technical support during online events when needed.
- Maintain proper filing systems and documentation of project-related activities, including attendance lists, minutes of meetings, and activity reports.
- Perform other duties as assigned by the supervisor, including urgent or ad-hoc tasks required for smooth program operations.
Qualification:
- Minimum D3 diploma with 3-5 years of working experience on office administration
- Experience in health sector program
- Experience working with government, NGOs, and other relevant stakeholders
- Excellent interpersonal skills and demonstrated ability to work in a multi-cultural environment
- Ability to work in a complex environment with multiple tasks, short deadlines and pressure to perform
- Written and oral fluency in Bahasa Indonesia; written and oral fluency in English preferred
