THE POSITION
Location: Ubud, Bali
Kopernik is currently looking for a Project Admin Assistant to help our Advisory Services team in managing day-to-day operations of the team, mainly for managing financial and administrative matters, preparing financial reports for the team’s projects and also supporting Kopernik’s finance team.
RESPONSIBILITIES
- Managing financial and administrative matters related to Advisory Services projects.
- Working with program and finance staff on the preparation of project financial reports as required by the client, including compiling, reviewing, proper supporting documents and ensuring their timely submission.
- Maintaining project files (both hard and soft copies).
- Arranging travel plans (flight, accommodation, transportation) for field visits for project team members, including the preparation of travel and fund advance request and reconciliation.
- Supporting other finance team members.
- Work closely with the procurement team for any needs of the procurement action of the projects.
- Coordinate with project partners on finance and administrative matters of the projects.
SKILL AND BEHAVIORS
- Positive attitude, hard-working, reliable and motivated.
- Excellent oral and written communication skills in Indonesian, and basic knowledge of English.
- Excellent attention to detail.
- Finance and administration skills to support projects.
- Ability to arrange travel plans for field visits.
- Ability to arrange venues and logistics for workshops.
- Have good knowledge of MS Office software use, especially Excel.
REQUIREMENTS
- Accounting major or equivalent with a minimum of three years Diploma.
- A minimum of 1 years of work experience with development aid agencies is preferred.
- Language proficiency in English and Indonesian.
- Ability to coordinate effectively with program team members in multiple locations.
- Ability to collect and organize financial documents as required by donors.
- Ability to keep track of project budget usage.
- Ability to book and prepare venues for workshops.
